Terms & Conditions

The following terms and conditions are set out to help parties become more aware of the services provided for their event and the responsibilities of all parties involved. Weddings are filmed as they happen with no retakes normally possible. This spontaneity is what makes your day so special and memorable.

These terms and conditions form an integral part of the booking contract.

Enquiries and Booking

Gideon&Sidney will reserve enquiries for up to 48 hours upon interest.
All new bookings must provide the following information: Names of bride and groom, email address, contact number, date of the event, venue(s) address, home address, and selected service.
A contract must be signed (sent by Gideon&Sidney) to complete your booking. Failing to do so will result in the booking as void.

Deposit and Payment

A deposit is required to secure your booking, (£200 or £250 depending on the service).
All deposits must be paid within 48 hours of booking confirmation.
Payment of the remaining balance is required no later than one month before the event date. Failing to comply will result in Gideon&Sidney’s departure from your event and a non-refunded deposit.
Payments must be made via online bank transfer only.

Cancellations

All cancellations must be in writing (email or letter).
Should, for whatever reason, you must cancel the booking the following charges will be applicable:
- Between the seventh day of booking and one month before the wedding date the deposit will be retained by Gideon&Sidney.
- Less than a month before the wedding date 50% of the full balance and the deposit are to be retained by Gideon & Sidney.
Cancellation within 7 days of booking will entitle a full refund of the deposit (£200 or £250 depending on service) unless the cancellation is taking place less than two months before the event.
Any requested postponements will be determined on a case-by-case basis. Gideon&Sidney will try their utmost to accommodate an alternative date. If failing to do so, a refund will be issued, and the deposit will be retained by Gideon&Sidney.
Cancellations by Gideon&Sidney regardless of the date will result in a full refund, including the deposit.

Filming

It is your responsibility to obtain any permissions, and licenses and pay any fees to any venues/locations or entertainers/musicians performing, where filming will take place (if applicable).
Unless advised otherwise, we will assume all persons attending the wedding have consented to be filmed.
We respect the wishes and regulations of anyone officiating at the wedding ceremony which may limit where we position cameras and other equipment. There may be other restrictions such as the limit of movement around the venue or certain parts of the ceremony that we are not allowed to film. Gideon&Sidney are not liable for these restrictions.
Gideon&Sidney will make every effort to produce a quality film and ensure all our equipment is of the highest quality and regularly maintained. G&S employs several contingency plans and strategies for backup sound and vision; however, G&S is not held responsible for any lighting, sound or interference issues caused by circumstances outside our control. This includes external factors such as technical failures, adverse lighting, noise, weather, attending guests, and restrictions imposed by venues.
Gideon&Sidney will not be liable for adverse weather conditions, resulting in the cease of any outdoor filming such as drone footage, particularly in high-speed winds and rain.
Gideon&Sidney uses professional expertise and discretion to ensure that significant parts of the day are recorded.
Gideon&Sidney can not guarantee that every aspect of the day is recorded.
Gideon&Sidney retains artistic license.
Gideon&Sidney will make every effort to arrive at the location on time, but G&S will not be held responsible for lateness or non-attendance caused by circumstances outside of our control such as traffic delays, severe weather conditions, unforeseen illness/incapacity, accident, technical, camera or equipment failure. In such circumstances, G&S will contact you as soon as possible to discuss alternative arrangements.
Gideon&Sidney aims to be discreet during the day and will work alongside the official photographer and other suppliers. G&S follow the events of the day as they happen and therefore, are not in control of the setting. This may lead to some images being in high shadow/contrast partial/temporary obstruction of subjects being filmed or issues of low/mumbled/no sound. G&S may be unable to take footage if the official photographer is not willing to allow filming when they are working.
G&S do not film during the wedding breakfast and whilst they will not join the reception guests, they would ask that refreshments be provided for the videographer/s during this time. In this way, G&S can remain on-site.
Whilst G&S aim to film as much as possible during the day, they can not guarantee a minimum amount of footage that will be taken on the day or a minimum length for a couple’s film, this is due to the ‘live event' nature of the day and the unique structure of each wedding.

Health and Safety

We will work with health and safety issues in mind and reserve the right not to film in dangerous or unsafe situations.

Editing and Delivery

Any music couples would like to be included please let G&S know before your wedding day. If no specific music is requested, appropriate music will be chosen for you.
Due to copyright laws, G&S can not guarantee your song of choice is royalty-free and in turn can not be featured in your wedding film.
All editing decisions are at the videographer’s discretion. G&S advise couples to watch examples of their work online at www.gideonandsidney.co.uk/portfolio to familiarise themselves with their style. G&S will do their utmost to include your suggestions and ideas, providing they are made in writing (email or letter) and before the wedding day, however, G&S can not guarantee that they will be included and will not be liable.
All main wedding films, regardless of your choice of package, are edited in the ‘short form’ style and again couples are advised to read the information on the website.
Gideon&Sidney retain the copyright of all materials recorded by them and it is not in their policy to offer the raw footage to couples or third parties.
G&S aim to have a final edit of your film available for you between 4 - 6 weeks after the event. However, this may fluctuate depending on the time of year.
You must notify G&S in writing (email or letter) within 30 days of receipt of the final film of any faults or playback issues and G&S will make every reasonable attempt to resolve them. Should G&S not hear from you within 30 days, G&S will assume you are satisfied with the final video(s).
All additional amendments will be charged at the rate of £30 per hour of editing time.
All edits will be sent via a private YouTube link or WeTransfer.com.
All raw footage must be retained by G&S.
Footage will be deleted 30 days after completion and sign-off.

Promotional Material

Gideon&Sidney retain the copyright of all materials recorded by them.
Gideon&Sidney reserve the right to display parts of your video online and via social media.
If you wish Gideon&Sidney not to display your wedding in promotional material, this must be requested before filming the event.

Liability

In the unlikely event of complete equipment failure or other circumstances outside G&S’ control which means we are unable to film your wedding; you’ll receive a full refund. G&S will not be liable for any further damages.
